#What a legally valid invoice must contain

Requirements differ by jurisdiction, but the following elements are near-universal and are all included in this generator:

  • The word Invoice, so it cannot be mistaken for a quote or a statement
  • A unique sequential number with no gaps in the series
  • Issue date and an explicit due date
  • Your business name, address and contact details
  • Your tax registration number where you are registered for VAT, GST or sales tax
  • The client's name and billing address
  • A clear description of each item, with quantity, unit price and line total
  • Subtotal, tax charged (stated separately with the rate), and total due
  • Payment instructions and terms

If you are VAT or GST registered, showing tax as a separate line is a legal requirement, not a formatting preference — your client cannot reclaim input tax without it.

#Numbering invoices correctly

Use an unbroken sequence. Tax authorities in most jurisdictions require that invoice numbers run continuously so that missing numbers cannot conceal unreported revenue.

Practical schemes that work:

  • 2026-001, 2026-002 — year prefix, resets annually, easy to reconcile
  • INV-1041 — a single running series across all years
  • ACME-007 — client-coded, useful if you invoice a few large accounts

Never delete or reuse a number. If you issue an invoice in error, issue a credit note referencing the original rather than deleting it.

#Payment terms that actually get you paid faster

Analysis of large invoice datasets consistently shows the same effects, and they are larger than most freelancers expect:

Shorter terms outperform. Net 14 is paid faster than Net 30, and not merely by the sixteen-day difference. Shorter terms signal that payment is expected promptly and place the invoice higher in an accounts payable queue.

Write the due date as a calendar date. "Due 12 September 2026" outperforms "Net 30" because it requires no arithmetic from the person approving it.

Offer an early payment discount. Terms of 2/10 net 30 — 2% off if paid within ten days — reliably accelerate payment. The 2% is cheap relative to the cost of chasing.

State a late fee. Even where you do not intend to enforce it, an explicit late fee clause measurably reduces days sales outstanding. Check what your jurisdiction permits; many cap the rate.

Invoice immediately. The strongest predictor of slow payment is a slow invoice. Send it the day the work is delivered, while the value is fresh in the client's mind.

#Practical details that reduce disputes

  • Reference their purchase order number. In larger companies an invoice without a PO reference frequently cannot be paid at all, regardless of who approved the work.
  • Address it to accounts payable, not your contact. Your day-to-day contact rarely processes payments. Ask for the AP email address at the start of the engagement.
  • Keep descriptions specific. "Consulting services — $8,000" invites scrutiny. "Brand identity design — discovery, three concepts, final artwork" does not.
  • Match the language of the contract. If the statement of work described three milestones, invoice by those milestones.

#Currency and international invoicing

The generator supports thirty currencies with correct symbol placement and formatting. When invoicing across borders:

  • Invoice in the currency named in your contract, not your home currency
  • State clearly who bears bank charges — "all bank charges for the payer's account" avoids a common $25 to $50 shortfall
  • For EU cross-border B2B supplies, note the reverse charge where applicable and include both VAT numbers
  • Consider a foreign-currency account or a service like Wise if you invoice internationally regularly; correspondent bank fees on wire transfers routinely exceed 3%
